Position Summary:
The Philanthropic Services Associate is part of a team of professionals that provides exceptional client service and a range of programmatic and logistical support to a portfolio of Tides’ individual and institutional partners.  In support of the team’s work and strategy, the Associate manages client grant  recommendations, coordinates the orientation process for new Tides clients, provides administrative and systems support,  conducts research and analysis on a variety of issue areas, drafts reports, supports events, and works on other special projects. The Associate’s portfolio is comprised of clients who primarily utilize Tides’ basic fund and grantmaking services to facilitate their philanthropy. As needed, the Associate partners with Philanthropic Advisors to develop programmatic content and strategy for the team’s clients. The Associate position requires strong client service skills, an understanding of the philanthropic and nonprofit sectors, a high level of independent project management skills, and the ability to communicate and collaborate effectively within a complex organization.

Reporting to the Senior Philanthropic Advisor, the Philanthropic Services Associate is an exempt position. Exempt employees are expected to work the appropriate and necessary time in order to complete key assignments and related tasks on schedule. The Philanthropic Associate has a projected end date of 12/31/10, at which time it will be evaluated as a potential permanent position.

Essential Duties and Responsibilities:

Client Service Delivery
•    Manages basic client service activity, including fund administration, grants processing and reporting.
•    Manages a portfolio of work and ensures high quality service delivery, provides and seeks appropriate support from other members of the Advising team as well as the Grants management team.
•    Assists with the entire grants cycle including processing of grants, communication with grantees and entering data into the grants management database.

Logistical Support
•    Coordinates and performs administrative tasks, including preparing reports and correspondence, responding to requests for information, scheduling internal and external meetings and events, and coordinating conference room and meeting accommodations.
•    Submits billing/expense requisitions and expense coding to the Finance department.  

Business Development Support
•    Develops proposals, fund agreements and contracts in close coordination with Business Development staff and the Senior Philanthropic Advisor.
•    Drafts and compiles materials under tight deadlines.
•    Coordinates the orientation of new clients to the team.

Communications & Coordination
•    Plans, documents, and follows up on all aspects of external client meetings in close coordination with the Senior Philanthropic Advisor and senior staff.
•    Drafts correspondence, and analyzes and prepares reports and documents.

Teamwork
•    Establishes and maintains strong partnerships with all team colleagues, and maintains regular working relationships with other components and entities across Tides.

Budgeting and Planning
•    Participates in annual budgeting and planning processes and monitors budgetary activities and progress towards annual plan goals.

Knowledge, Skills, and Abilities:
•    Exceptional relationship building skills and ability to deliver high quality services to a range of clients and donor partners
•    Administrative and project management experience, including the ability to plan and manage projects both independently and with colleagues
•    Proven organizational skills, including attention to detail and the ability to multi-task
•    Ability to meet tight, sometimes simultaneous, deadlines
•    Proven ability to work as a strong, contributing member of a team to deliver services in an organized and efficient manner
•    Strong research and writing skills, including qualitative and quantitative analysis, copy editing and proofreading
•    Advanced computer experience in MS office:  Word, Excel, Access, Outlook, PowerPoint, Adobe and Visio
•    Experience in web- and electronic-based document management tools and practices
•    Demonstrated sensitivity to and appreciation for diverse viewpoints, different communication styles, and a wide range of diverse colleagues and client partners
•    Ability to remain flexible while dealing with the challenges of a changing environment and diverse client needs and priorities
•    Ability to appreciate and contribute to a work environment that values integrity, adaptability, reliability, collaboration, a commitment to learning, and a sense of humor
•    Ability to speak and write in languages other than English (especially Spanish) is preferred

Education and Experience:
•    2 – 4 years relevant experience in the non-profit or philanthropic sector. This experience could include work in a foundation or grassroots activist or advocacy organization.
•    An undergraduate degree is preferred
